    Cave tubing

Booking software for cave tubing operators

Three departures, two vans, guides who need a headcount and shoe sizes before the river. All of it before the van leaves the lot.

The Seascape dashboard: today's trips, who is on each boat, alerts, and the week's bookings at a glance.

What goes wrong running cave tubing operators on a spreadsheet?

Three things, and they are the same three in every shop we have sat in. Two people sell the same seat. The list the boat leaves with is not the list the office has. And the money taken at the dock does not match the money in the system, so somebody spends the evening working out which.

    • The cruise ship excursion desk sends a number and the number changes at the gate.
    • Water shoe sizes are collected at the river, where the shoes are not.
    • A parent signs for a child on a form that is in a box in the office.

What does a day on Seascape look like?

It looks like the day you already run, with the re-typing taken out. The morning starts on one screen the office and the dock both read; the boat leaves with a manifest that is already right; the guests who turn up sign and pay where they stand; and the evening reconciles itself instead of being reconciled.

    The day view

Each departure with its capacity, the vehicle assigned, and who has not signed a waiver yet. The guide reads the same screen as the office.

    The manifest

Per departure: names, shoe sizes, who is under sixteen and who signed for them. Opened on the guide's phone at the trailhead.

A boat manifest for one departure: every diver, their certification and gear, ready to print or hand to the captain.
    At the dock

    Check-in and waivers

Guests check in on the QR code at the lot. Adults sign on their phone; a guardian signs for a minor and the record says so.

Self check-in on a phone: a walk-in diver scans the shop's QR code, picks their trip, and fills in their details and waiver.

    Reconciliation

Online deposits, gate cash and card sales close on one page. The count is the count.

The payments list: card, cash and deposit payments against each booking, with what is outstanding.
